Select Sires Inc. seeks an Executive Assistant. This position will provide high-level administrative support to handle a wide variety of complex organization situations and is responsible for receiving and preparing confidential and time sensitive materials. Position serves as Corporate Secretary and will keep record of each meeting of the Members and of the Board, give all notices as required by law, coordinate organizational administration, and execute board activities.

The Executive Assistant position is based in Plain City, Ohio. The position will report to the Chief Executive Officer.

Specific duties and responsibilities of the Executive Assistant include, but are not limited to,

  • Serve as a positive representation of the Select Sires, Inc. Mission: To enhance the productivity and profitability of dairy and beef producers, Select Sires is committed to be the premier provider of highly fertile, superior genetics accompanied by effective reproductive- and herd-management products and services.
  • Logistically plan and coordinate meetings and company functions (from several small executive meetings to weeklong board meetings, holiday celebrations and employee recognition events), to include hotel contract negotiation, site selection and management, budget tracking and reporting
  • Ability to diplomatically negotiate with vendors to arrive at mutually agreeable, cost-saving solutions
  • Must be able to work on multiple functions simultaneously
  • Make travel arrangements for executives and coordinate logistics that may include location selection, menus and food services, audio visual support, room set-up, etc.
  • Research, gather materials, prepare and proofread reports, memos, letters, and other documents using Microsoft Office software for consideration and presentation to executives, committees, and/or board of directors
  • Set priorities, coordinate schedules, recommend solutions to routine and less complex situations
  • Schedule and maintain calendar of appointments and meetings
  • Attend staff and board meetings to record minutes
  • File and retrieve corporate documents, records, and reports. Follow up on action items.
  • Greet visitors and determine whether they should be given access to specific individuals
  • Answer phones, takes messages, and/or redirect calls
Requirements:
  • Extensive experience in the coordination, planning and support of daily operational and administrative functions
  • Project management and planning skills are critical
  • Exceptional verbal and written communication skills and to correspond and interact with all levels of management and employees, external contacts, and customers
  • Operate personal computer with related business software (MS Office Suite – Word, Excel, PowerPoint) and business equipment (copier, multiline phone, etc.)
  • Ability to proofread own and others work
  • Decision-making skills to evaluate, recommend, and implement solutions
  • 5 years secretarial/administrative experience
  • Knowledge of agricultural business, preferred
  • Certified event planner (CMP, CMM, or equivalent), preferred
  • Public speaking experience, preferred
