Ravenswood Family Dentistry (RFD) operates multiple sites in East Palo Alto, San Mateo County and Santa Clara County, including on mobile units, in the operating room at local hospitals and virtually in the classroom with pre-school and elementary school children. We offer dental care to people of all ages and to persons with special needs regardless of their ability to pay. As a multi-cultural community dental clinic, our goal is to provide high quality comprehensive oral health care to our patients including preventative, restorative, periodontics, prosthodontics, endodontics, and oral surgery.

Position Summary*
The Dental Office Manager of Ravenswood Family Dentistry is responsible for day-to-day operations of the dental department to ensure that service delivery operates cost effectively and delivers high quality health care. Responsible for directing the Dental Billing Staff, the Dental Front Office and Back Office Managers who in turn oversee front desk staff, dental assistants and sterilization technicians. Participates in recruitment, orientation, training, performance evaluation of staff under his/her direction and ensuring their adherence to all RFHN policies and standards as well as meeting RFHN health care objectives for grants and contracts, local, state and federal laws and regulations related to operating a community health center.

The Dental Office Manager is a member of the Executive Management Team, and a member of the operations and clinical team supporting PCMH standards and practices. In addition, s/he participates in performance improvement activities and upholds the mission and vision of RFHN in the performance of his/her work.

Duties and Responsibilities*
To be performed in accordance with RFHN Policies and Procedures
Supervision (40%):

  • Responsible for the effective operational delivery of clinical services in dental clinics by ensuring adequate staffing, supplies and implementing current infection control protocols.
  • Directly supervises the dental billing staff and the dental front and back office managers who in turn oversee dental assistants, front desk staff, and sterilization technicians.
  • Participates with Human Resources in the recruitment, retention, performance evaluation and discipline of dental department managers and the front and back office dental support staff.
  • Creates and updates support service staff position descriptions, onboarding orientation, proficiency and competency assessments in collaboration with the Staff Development Department.
  • Ensures that department reports and their supervisees are compliant with all health center policies and procedures.
  • Conducts regular staff meetings with the dental team, managers and clinic support staff to discuss operational issues, policies, and procedures. Supervises the implementation of OSHA/ infection control protocols.
  • Stays current with new regulations and its implications to the dental clinic operations by attending conferences and seminars.

Operations (40%):

  • Maintains and improves clinic operations in conjunction with managers, dentists and clinic leadership to maximize efficiency, quality and financial sustainability.
  • Ensures that all patients are treated in a timely, professional and courteous manner that promotes customer satisfaction.
  • Promotes employee and patient safety needs, communicating these needs with recommendations, as appropriate, to the Chief Dental Officer, and Chief Compliance Officer.
  • Works with Chief Dental Officer and Compliance Officer to monitor and resolve patient complaints. Documents and responds and assure all reports document and respond in accordance with the clinic's policies and procedures.
  • Assists the Chief Financial Officer, Chief Dental Officer in monitoring patient utilization of programs and services to assure that RFHN utilization and financial goals are met.
  • Responsible for Implementing Cross Departmental Active Management to ensure that communication between departments is effective and service delivery workflow is smooth.
  • Assures that the clinic adheres to all local, state and federal regulations and laws pertinent to operating a California intermittent dental clinic within a Federally Qualified Health Center.
  • Assures the development and implementation of effective clinical systems that achieve quality patient outcomes, patient and staff satisfaction.
  • Works with Decision Support, IT and Provider EHR Lead to prepare for EHR upgrades and transitions.
  • Assures the development, implementation, coordination, of best practice service delivery processes, procedures, and ambulatory care delivery systems for a community health center.
  • Monitors and responds to the translation needs of providers and patients, identifies necessary changes of staffing, skill building and tool applications.

Administrative Duties (10%):

  • Meets regularly with the Chief Dental Officer, Front and Back Office, and VDH Managers as directed.
  • Helps establish/implement goals, objectives, policies, procedures and systems for assigned administrative areas.
  • Participates in the planning, development and implementation of system improvements.
  • Performs other duties and projects as requested by the Chief Dental Officer.
  • Drafts, updates, and monitors appropriate procedures to implement clinic policies pertaining to oral health Comprehensive Dental Department patient flow.

General Agency Duties (10%):

  • Fosters an environment that promotes trust and cooperation among patients and staff; maintains strictest confidentiality concerning all patient and employee information.
  • Promotes and exemplifies in action, the mission, goals, policies, procedures and principles of RFHN to supervisees and other clinic staff.
  • Participates in outreach activities, agency advocacy, and serves on ad hoc committees, as requested.
  • Attends RFHN staff retreats and Board of Directors meetings, as requested by the Chief Dental Officer.
  • Other duties as assigned and requested.

QUALIFICATIONS

  • Completion of COVID-19 vaccine series and booster required.
  • Minimum of three (3) years of prior clinical dental experience: clinical/direct patient care experience as either an RDA or RDA-EF or RDH or RDH-AP required.
  • Bachelor's degree in health or business administration with three (3) years minimum experience in dental outpatient clinics, community health centers or Dentist office.
  • Five* (5) years minimum* progressive supervisory and management experience in Dental outpatient clinics, community health centers or Dentist office.
  • Three (3) years of prior managed care experience highly desirable.
  • Ability to communicate both orally and in writing in a professional manner; Spanish language competency highly preferred.
  • Computer literacy required; familiarity with the use of Microsoft Windows. Experience with the utilization of electronic practice management and electronic health record systems required.
  • Demonstrated knowledge and experience in the effective and efficient delivery of oral health care operations.
  • Demonstrated ability to gather, interpret, and analyze data with ability to prepare and present comprehensive reports.
  • Ability to take initiative and to exercise independent and sensible judgment; demonstrates decisionmaking and problemsolving expertise.
  • Ability to provide proactive, positive, calm and overall effective leadership for the clinic and dental staff in the delivery of day to day clinic services.
  • Demonstrated ability to motivate, supervise, train and work respectfully and effectively with a culturally diverse clinic staff.
  • Ability to collaborate and work respectfully and effectively with the management team, patients, the public, community members and external agencies.

Salary is commensurate with experience.
