Position Overview:

The organizers of the World Baseball Classic are looking for experienced candidates who have a strong familiarity working with professional athletes and/or sports organizations to manage National Team Federations' schedule, air travel, ground transportation, hotel accommodations, and ticket allocations/distributions for the 2023 tournament. Individuals will act as the point person for all of the assigned National Teams' travel logistics and work closely with the assigned World Baseball Classic Team Coordinator.

This will be a remote position, but candidates will be expected to be available during U.S. Eastern Standard Time work hours. Hired candidates will travel with National Teams throughout their participation in the tournament.

Responsibilities:

  • Liaise with Team Coordinator on all Tournament-related and operational functions.
  • Continuously facilitate effective communication on all itineraries and travel details to World Baseball Classic event groups, Team Coordinator, National Team representatives and WBCI organizers leading up to and throughout the Tournament.
  • Coordinate and liaise with Team Coordinator and Venue Transportation Coordinator on all air travel preparations including maintaining charter flight seating allocations, passenger lists, and equipment and immigration manifests. Assist National Team with visa and immigration administration, as necessary.
  • Coordinate and liaise with Team Coordinator and Venue Transportation Coordinator on all ground transportation needs such as team scheduling, airport pick-ups and drop-offs, team buses, equipment trucks, team vehicles and additional vehicle requests.
  • As applicable, coordinate player travel arrangements to and from tournament venues with each respective MLB Club Travel Director.
  • Coordinate and liaise with Team Coordinator and Team Services Coordinator on all hotel needs for National Team, including compiling and confirming rooming lists for all rounds of competition. Manage, in conjunction with Team Service Coordinator, team check-in/check-outs including any additional approved requests.
  • Manage and coordinate National Team ticket allocation, distribution, and additional purchase requests in conjunction with your Team Coordinator.
  • Liaise with Venue staff and Team Coordinator on workout and clubhouse requests.
  • Maintain and file National Team information on World Baseball Classic internal computer drives with the assistance of the Team Coordinator.

Skills:

  • Ability to manage multiple projects on demand and issues as they pertain to travel.
  • Meticulous organizational and record keeping skills.
  • Excellent interpersonal, written and verbal communication skills.
  • Ability to establish and maintain professional relationships with players, executives, etc., involved in the WBC.
  • Fluency in Spanish is strongly preferred for Latin American National Teams.
  • Fluency in Mandarin and Mandarin Chinese is strongly preferred for some Asian National Teams.
  • Visa application and administration experience a plus.

Qualifications:

  • College degree required.
  • Excellent familiarity and understanding of professional baseball team operations.
  • Substantial travel coordinator experience working with professional athletes and/or sports organizations.
