Posting Summary
Rutgers, The State University of New Jersey is seeking a Staff Assistant for School of Graduate Studies. Performs a wide variety of administrative and support services for the Senior Associate Dean, Associate Dean, Assistant Dean and other professional staff within the School of Graduate Studies.
Among the key duties of this position are the following:

- Inputs and updates confidential applicant and student information in the Banner system and People Soft.
- Assists Program Directors for the master’s program with course preparation and reports.
- Acts as a liaison for the Graduate Student Association and university departments such as physical plant, payroll etc.
- Screens calls to the SGS main line and provides information in accordance with SGS policy. Receives and appropriately distributes incoming correspondence. Assists the Associate and Assistant Deans in preparation and typing of correspondence, grants and other documents, including electronic purchase orders and financial records of the Senior Associate Dean’s Office.
- Makes travel arrangements for the academic staff of SGS and submits their travel expense reports for reimbursement. Also assists students applying for travel awards from SGS. Oversees payment for office, travel and meeting expenses.
- Prepares and/or compiles data for special reports and analyses, monthly reports, and other related reports within prescribed guidelines as requested.
- Identifies vendors for technical services, equipment and supplies. Research major purchases. Compiles necessary data and justification for projected expenditure. Maintains inventory and orders office supplies.

Qualifications
Minimum Education and Experience
- Bachelor’s Degree in Business Administration or related field, plus two (2) years of progressively more responsible administrative experience with demonstrated ability to successfully solve administrative problems on a multi-tier level, demonstrated fiscal responsibility and recent experience with electronic and federal grant submission.
- Equivalent education, experience, and/or training may be substituted for the degree requirements.

- Must have an excellent command of the English Language.
- Excellent interpersonal, communication and computer skills required.

Under Policy 60.1.35 Immunization Policy for Rutgers Employees and Prospective Employees, Rutgers University requires all prospective employees to provide proof that they are fully vaccinated and have received a booster (where eligible) against COVID-19 prior to commencement of employment, unless the University has granted the individual a medical or religious exemption. Employees who are not eligible for a booster at the time of an offer of employment must provide proof they have received a booster upon eligibility and upload proof of same. Under Policy 100.3.1 Immunization Policy for Covered Individuals, if employment will commence during Flu Season, Rutgers University may require certain prospective employees to provide proof that they are vaccinated against Seasonal Influenza for the current Flu Season, unless the University has granted the individual a medical or religious exemption. Additional infection control and safety policies may apply. Prospective employees should speak with their hiring manager to determine which policies apply to the role or position for which they are applying. Failure to provide proof of vaccination for any required vaccines or obtain a medical or religious exemption from the University will result in rescission of a candidate’s offer of employment or disciplinary action up to and including termination.
