Essential Function

The Site Coordinator oversees the planning, development, implementation, and evaluation of programs for youth ages 5 and 18. Program responsibility supports our priority outcome areas of Academic Success, Healthy Lifestyles, Good Character, and Citizenship. The Site Coordinator also supervises assigned program and volunteer staff, manages budgets, and controls expenses as assigned. This position oversees the After-School and Summer Enrichment programs at the Newark Westside location.

Duties and Responsibilities

Programming & Outreach

  • Responsible for the recruitment and enrollment of Club members.
  • Ensure that the average daily attendance is at capacity; 60 for the Westside site.
  • Responsible for collecting program fees and assisting parents who qualify with the program for parents’ reimbursement process.
  • Create an environment that facilitates the five key elements of youth development:

- A safe, positive environment,
- Fun,
- Supportive relationships,
- Opportunities and expectations, &
- Recognition.

  • Track and monitor member progress in school and all programs.
  • Plan and implement member retention & recruitment activities.
  • Deliver programming that satisfies grant requirements.
  • Develop partnerships with parents, community leaders, and organizations.
  • Consistently engage with parents regarding general program participation, the expectations of program members, and any outstanding member issues.
  • Increase the visibility of programs by posting daily schedules and announcements of upcoming events and developing advertising and promotion materials (mailings, fliers, media releases, etc.).
  • Work collaboratively with Corps Officers and oversee Youth Development Specialists.

Leadership & Supervision

  • Ensure that site staff (Youth Development Specialists and volunteers) understand and effectively communicate program standards, that program areas are safe, well-ventilated, and well-lit, and that equipment is maintained in good working condition.
  • Model leadership to ensure proper conduct, safety, and development of members.
  • Ensure all staff is fulfilling duties as described in their job descriptions.
  • Ensure productive and effective performance by all program staff and volunteers.
  • Allocate and monitor work assigned to program volunteers and staff, providing ongoing feedback and regular appraisal; identify and support training and development opportunities.
  • Maintain an accurate record of volunteers & related supplies.
  • Maintain an accurate record of staff payroll timesheets, ensuring all documents are correct and signed.
  • Conduct regular staff meetings and manage staff program delivery.
  • Communicate any potential issues or concerns regarding personnel, parents, peers, partners, or program members to the Director or NAS Administration as soon as practicable.

Administration & Facilities

  • Oversee proper recordkeeping and weekly/monthly reporting, including activities and events conducted, breakdowns of daily participation figures, notable achievements, and any problems/issues.
  • Collect and analyze data on outcome indicators to ensure outcome measurements are met.
  • Maintain an up-to-date inventory of equipment, reviewed quarterly.
  • Submit all required reports on time, ensuring complete and accurate data per Salvation Army, state, and federal standards, as applicable.
  • Provide a healthy and safe environment, ensuring facilities, equipment, and supplies are maintained.
  • Implement, follow, and enforce all COVID-19 guidelines and organizational policies.
  • Keep site clean, neat, organized, and in good working order, follow all COVID-19 guidelines, and promptly report any required facility repairs to Corps Officers.
  • Complete any required and mandated training, including professional development.
  • Adhere to all childcare licensing requirements, policies, and procedures as outlined in the Salvation Army handbook and other reference documents.
  • Maintain binder for licensing and ensure all records are updated. Maintain site-specific grant paperwork.
  • May be required to drive a Salvation Army van periodically.
  • Other duties within the scope of the role, as assigned by the supervisor.

Qualifications

  • Associate degree in Education, Child Development, Physical Education, Recreation, or related field.
  • Two (2) years of direct experience working with school-aged children aged 5-18; Boys & Girls Club experience is strongly preferred.
  • Proficient with computer applications, including databases, Excel, Word, Outlook, Teams, and PowerPoint.
  • Understanding of Programs for Parents and experience in revenue tracking.
  • CPR/First Aid certification preferred; must be willing to get certified within first 90 days.
  • Bilingual English/Spanish strongly preferred.
  • Strong verbal and written communication skills.
  • Excellent organizational skills with above-average attention to detail.
  • Valid NJ Driver’s license and clean driving record; must be approved to drive Salvation Army vehicles.
  • Must understand and support the mission of The Salvation Army.
