Senior Licensed Community Association Manager (LCAM) - Homeowner Association (“HOA”)

The Senior Community Association Manager will work under the direction of the President of Zeal Community and will be responsible for managing the operations of the communities in which we serve. The LCAM will be accountable for ensuring compliance with governing documents, state law, and Zeal Community’s policies, procedures, and agreement(s) with the HOA to achieve financial goals, meet service expectations and forging effective relationships across the Community’s leadership and membership.

Core Functions

1. Financials

  • Preparation of annual budgets
  • Recording and paying invoices in timely manner
  • Accounts receivables and collections
  • Entering and collecting for billable services
  • Monitoring budgets and ensuring expenses are coded correctly
  • Preparing and distributing monthly financials for board members
  • Monitoring cash flow performance, optimize where possible and implement corrective action when necessary

2. Communications

  • Maintain a high level of communication with the association by proactively communicating updates, changes, and things happening throughout the community to uphold a positive image of transparency within the Association and the Board of Directors
  • Determine when an important Announcement should be posted on a homeowner’s Secure Resident Center and set and monitor expiration dates
  • Prepare short informational blasts when appropriate to be delivered via text messaging
  • Respond to homeowner requests within Zeal Community’s Service Level Agreement timeframe
  • Partner with Community Advocate to ensure newsletters are prepared and distributed in a timely manner and include necessary input from other stakeholders

3. Inspections & Covenant Enforcement

  • Performing inspections of residential lots to ensure adherence with all governing documents, rules and regulations and architectural standards
  • Perform routine inspections of community grounds and create manager inspection report
  • Preparing violation notices when necessary and tracking them to achieve homeowner compliance
  • Preparing fining committee packages for hearings on unresolved violations

4. Architectural Requests

  • Be a subject matter expert of architectural guidelines within a community
  • Be able to identify missing documentation and obtain from homeowner
  • Ensure timely collection of all supporting documentation and enter in company portal
  • Prepare decision-ready packages for the Board and Committee review
  • Notify homeowner in timely manner the decisions reached by the Committee and/or Board

5. Maintenance

  • Provide oversight of maintenance performed by vendors (landscaping, lighting, etc)
  • Ensure that all common areas and Association property is operational, clean and compliant in a cost-effective manner
  • Identify and submit maintenance work orders and track through completion
  • Develop, monitor, and track routine daily maintenance requirements
  • Ensure the timely execution of routine maintenance services by developing a preventative maintenance schedule and engaging vendors to perform the services
  • Identify and resolve emergency maintenance in a timely manner
  • Oversee replacement maintenance activities based on reserve study requirements and/or board directed engagements

6. Procurement

  • Serve a liaison to the Board of Directors and vendors to solicit goods and services
  • Work with Board of Directors to obtain Requests for Information (“RFI”) and Request for Proposals (“RFP”) to create a uniform understanding of the requirements of the goods and services requested in conjunction with the Association’s desired outcomes and distribute those requests to applicable vendors
  • Review contracts to ensure they comply with the requested requirements as outlined in an RFI or RFP before bringing to the Board for review
  • Communicate in timely manner to vendors when contracts have been awarded and prepare next steps

7. Risk Management

  • Minimize risk to the Association by developing emergency planning
  • Implement and enforce policies, rules and regulations to ensure a safe environment for all
  • Monitor access controls
  • Where applicable, oversee water quality, drainage, roads, ponds, and lakes that are the responsibility of the Association
  • Ensure all applicable permits are up to date

8. Governance

  • Be a subject matter expert for the Board of Directors with regards to changes in legislation, legal obligations, industry changes, and when necessary, seek advice from an attorney.
  • Seek knowledge that will help you better contribute to the Association’s health and wellness by keeping abreast of changes in the industry and legally

9. Management

  • Be able to effectively lead and manage a team of Junior and Level II CAMs and support staff, while serving as an individual contributor to communities
  • Serve as a mentor to peers and identify knowledge and/or process gaps and provide necessary training to elevate team
  • Develop and lead programs and initiatives that support company direction and optimize workflows and efficiencies

Experience/Skills

  • Minimum 3 years of active LCAM experience is required
  • Licensed Community Association Manager (LCAM) license required
  • Maintains knowledge of federal and state laws and types of Association documents that govern the operation of the community
  • Must have strong financial background and experience in budget creation and general working knowledge of accounting practices
  • Experience in people management, project management, and planning skills
  • Experience in presenting and discussing financial information
  • Experience in developer and deficit funding a plus
  • Must have excellent customer service, communication, and conflict resolution skills
  • Must be extremely well organized and have excellent time management skills
  • Strong attention to detail
  • Proficiency in Microsoft tools: Word, Excel, Outlook, PowerPoint, Teams
  • Experience in developing new programs and initiatives
  • Experience working with and presenting to C Suite
  • Must have a valid driver license and reliable form of transportation
  • Must demonstrate discipline and focus when working remotely
