Your Opportunity
As our office coordinator, you will take on a vital supporting role of being the first impression and representation of our company! The ideal candidate will understand and demonstrate excellence in both internal and external communication with staff and visitors, along with providing timely, accurate, and professional administrative support in keeping with Stantec’s high standards. This position is in Stantec’s Portland office Monday through Friday.
Your Key Responsibilities
- Greets visitors and staff and provides a professional, welcoming image of Stantec
- Refer and direct calls, emails and visitors as required.
- Responsible for ordering office supplies, maintaining inventory, orchestrate stationery and business card purchases
- Responsible for incoming and outgoing daily mail, FedEx, and deliveries
- Ensures organization and cleanliness of the reception, lobby, kitchen, conference rooms and supply areas
- Provides general administrative support to Stantec staff
- Assists in scheduling meetings and events for staff, when requested.
- Assists in planning and logistics for staff meetings and events, lunch and learn seminars, office parties/functions, etc.
- Serve as the local office health, safety, security, and environmental coordinator; prepare for and manage the office’s annual safety audit
- Provide support for new hire orientation and other HR compliance-related activities
- Assists with addressing office equipment issues including assisting IT with support of staff computer issues.
- Assists to manage office accounts, monthly invoice downloads and submission to/processing in AP.
- Assists with review of office ARC printing log and processing.
- Manage relationships with vendors and service providers
- Support other special projects and activities as assigned
Qualifications
Your Capabilities and Credentials
- Must be able to multi-task and communicate well, be highly organized, detail oriented, resourceful and dependable.
- Technological proficiency especially with MS Office and Office 365. Strong MS Word formatting skills and proficiency with Excel, Adobe, and PowerPoint a plus
- Must have positive, can-do attitude. Service oriented.
- Comfortable learning and using new technology.
- Must maintain a professional, polished appearance and demeanor
- Must be able to successfully work both collaboratively and independently.
- Some lifting of file boxes and packages up to 25 pounds may be necessary
- Solid working knowledge of Microsoft Teams and SharePoint a plus.
- Professional experience in the architecture/engineering/planning industry preferred.
- Must have valid driver’s license.
