The department of University Collections in the Office of the Vice President for Research was created in 2018 to ensure proper stewardship of library, museum, and archival collections throughout the Indiana University system. University Collections has opened an exhibition facility to showcase the collections of the University in the historic McCalla School building earlier in 2022.

Job Summary


University Collections is hiring a cohort of five (5) graduate students to serve as collections information assistants that will facilitate the migration of collections management data from legacy systems (e.g. Past Perfect, TMS, FileMaker Pro, or analog record systems) to a new collections management system (CMS) to be provided and supported by University Collections IT. The ultimate goal of this ambitious project is to provide each of the 5 partner collections with a CMS, a public-facing web portal for collections object discoverability, and the ability for a University Collections aggregator to harmonize collections data from each collection into a single consensus model suitable for including public collections data in a one-stop-shop on collections.iu.edu for locating and learning more about Indiana University’s diverse collections holdings. Collections that are participating in this pilot project include:

  • Campus Art (IU-wide)
  • Ostrom Workshop (Bloomington)
  • Herron School of Art (Indianapolis)
  • Sage Historic Costume Collection (Bloomington)
  • IUS Zoology Collection (New Albany)

Department Specific Responsibilities

  • A full mapping of existing data structures, metadata optimization, standards alignment, and providing recommendations for one of each of a set of collecting entities from across the IU system.
  • Construction of metadata schema and collection profiles with custom field identification
  • Provides guidance on aggregator schema definition based upon user stories and client requirements
  • Implements controlled vocabularies and alignment to published data standards
  • Generates an individualized plan for migrating/converting existing data to novel data mapping
  • Creations of individual collection data dictionaries, data entry guidelines
  • Facilitates recommendations for interoperability with data harvesting API
  • Hands-on time with the collections’ associated data and the professionals responsible for the stewardship of these collections.

Qualifications


EDUCATION

Required

  • Currently enrolled as a student at Indiana University.

Preferred

  • Students from museum studies, curatorship, or information and library science programs are especially encouraged to apply.

SKILLS

Required

  • Great attention to detail and clear communication competency
  • Interest in collections processing, metadata, information architecture, databases, and collections management

Advertised Salary


$17-$18 per hour.

Work Hours


Flexible workday schedule is Monday-Friday during regular business hours (9am to 5pm).

Up to 20 hours per week.
