Position: Grants Coordinator (40 hours per week/12 months)

The Opportunity:

The Grants Coordinator leads the development and submission of grant proposals and budgets, working closely with program leaders throughout the district spanning a wide array of school and district functions. In a typical year, CPS receives approximately $12M in grant funding, primarily from federal and state grants administered through the Massachusetts Department of Elementary and Secondary Education (DESE). The Grants Coordinator is the district’s key liaison with funders, including DESE and private foundations, and with the internal school and district leaders responsible for implementing grants to further the district’s strategic priorities. The Grants Coordinator reports directly to the Chief Financial Officer and supports the management of CPS grants, including helping grant leads design programmatic and budget elements.


Key Responsibilities:

  • Prepare and submit all federal, state, foundation, and private grant applications, including detailed budgets, in collaboration with district leaders and grant administrators, and submit any necessary amendments. Represent the district in all communication with funders.
  • Research and identify grant opportunities that align with the district’s strategic priorities, and make appropriate recommendations for consideration.
  • Monitor funding availability and program announcements, eligibility and submission requirements, and grant terms and requirements.
  • Upon grant award, coordinate accepting/setting up the grant; communicate expectations related to the implementation of the grant and provide support to grant administrators.
  • Oversee federal grants compliance requirements and documentation, including community consultations, private school participation, time and effort reports.
  • Participate in technical training and informational meetings provided by funding agencies, and stay current with changing grant standards and proposal guidelines
  • Serve as a resource to district administration on proper grants management and on federal and state requirements for the expenditure of grant funds. Conduct internal training on grant policies and procedures, and resolve questions of both routine and difficult nature.
  • Support grant administrators in managing grants, including monitoring grant expenditures, meeting regularly, and making recommendations for grant amendments when necessary.
  • Evaluate grant activities, budgets and programs and make recommendations as appropriate.
  • Prepare programmatic grant reports and assist with financial grant reporting.
  • Perform other related duties, as assigned.

Your Skill Set:

As the incoming Grants Coordinator, you may possess many, though perhaps not all, of the following characteristics and qualifications:

  • Undergraduate degree required.
  • Three to five years of related experience, including successful grant writing and grants management, preferably in K-12 or higher education, or other large institutional setting.
  • Refined project management and organizational skills, with the ability to multi-task and manage various priorities and tasks simultaneously in a dynamic environment while meeting deadlines.
  • Strong analytical aptitude, with an ability to see the big picture while maintaining impeccable attention to detail.
  • Ability to identify and solve problems creatively.
  • Strong communication skills (both written and oral), including the ability to communicate effectively across diverse internal and external audiences with discretion, professionalism, and tact.
  • Strong customer service orientation.
  • Understanding of how to maintain confidential, sensitive and/or secure information and documents.
  • Proficiency with standard computer applications, including Word, Excel, and PowerPoint, and Google Suite.

Salary: $111,960 - $123,531


Terms of Employment: 40 hours per week/12 months per year. Competitive benefits package.
