General Description:
The Field Administrative Specialist is very customer-focused and dedicated to exceeding the expectations of internal and external customers. This position provides support to the commercial field team. This position also prepares, formats, and distributes correspondence, PowerPoint presentations, and assorted reports for assigned Commercial Field group. This incumbent will be responsible for data entry into ChemTreat and industry specific programs and databases.
Essential Functions and Responsibilities:
Prepares necessary documents in support of field needs and appropriate documentation management
Place orders as needed using our digital ordering tool and calling ChemTreat Customer Service
Review customer guides quarterly and update customer pricing, review invoicing for accuracy
Keep org charts, returned value spreadsheet, monthly inventory data bases up to date (some data entry will be completed by field team, admin responsible to verify each data base is up to date).
Access online databases to pull data as needed (tank levels/inventory reporting, etc.), check same data bases daily for issues/alarms (Monday-Friday).
Will need to learn ChemTreat system CTV+ to setup new samples, tests, accounts, etc. as needed.
Monitor and verify lab reports are uploaded into CTV+ correctly, check for misspelling and accuracy
Intakes emails and calls from field team and customers. Resolves routine and complex inquiries. Refers inquiries to the appropriate person and follows-up to ensure complete and timely responses.
Coordination with field team and customers to drive business process
Travel as needed 10% or less
Qualifications - Knowledge and Skills:
High School Diploma: Business school or college courses preferred
Minimum two years-based responsibilities as above
Ability to work independently with minimal supervision
Proven technical aptitude and business knowledge
Strong attention to detail
Communication and interpersonal skills
Excellent computer skills that include Microsoft Office applications, and proficiency in typing required.
Strong organizational, multi-tasking, and follow-up skills
Ability balance multiple field team members.
Create and maintain an organized view of work tasks based on priority and relevance.
Project a positive image through behavior.
Ability to communicate effectively using a variety of styles and techniques as appropriate
Physical Requirements:
