EXECUTIVE ASSISTANT
The Home Centered Care Institute (HCCI) is a mission-driven non-profit dedicated to increasing patient access to home-based primary care (HBPC), particularly for medically complex patients who are best cared for at home. HCCI is looking for an accomplished and versatile Executive Assistant to provide administrative support across all departments of the organization, which will include focused support for the Executive team. The Executive Assistant will also serve as our Office Manager. The ideal applicant will be detail-oriented and results-driven and must possess strong interpersonal communication skills as well as the ability to manage change effectively.
The Executive Assistant at HCCI will be responsible for several aspects of the day-to-day administration of the organization, and as such, should be adept at working effectively despite shifting priorities and deadlines. The Executive Assistant will be expected to both uphold and improve upon current processes, and this position will require someone who is skilled at critical thinking and prioritization.
A small non-profit, HCCI relies on its team members to work collaboratively with one another to solve problems, and the Executive Assistant will serve as a key communicator within the organization. As such, applicants should have a clear track record of building collaborative relationships within their workplaces.
PRIMARY RESPONSIBILITIES
· Office Management and Administration (provide administrative support for Executive team, serve as liaison between staff and others, create, maintain, and update tracking reports and user guides, monitor office supplies and order as necessary);
· Accounting (payroll administration, file maintenance for compliance, expense report management, and monthly payment reports processing);
· Human Resources duties (act as liaison between benefits broker, maintain files and related systems, manage onboarding and offboarding of new hires, develop policies as needed and assist with staff compliance trainings);
· Data Management (manage technology platforms, specifically CRM, contribute to the development and implementation of processes and workflows associated with HCCI software applications, run periodic key metrics reports);
· Fundraising and Development duties (track individual and foundation donations to assist President and Board, assist with proposals, and monitor and maintain records of funds raised);
· Other general administrative duties as needed within scope of expertise.
REQUIREMENTS AND QUALIFICATIONS
· Minimum five years administrative support and project coordination experience;
· Bachelor’s degree preferred, not required;
· History of increasing responsibility in administrative support positions;
· Excellent verbal and written communication skills, interpersonal skills, and decision-making skills;
· Ability to set goals and prioritize tasks and workload to ensure timely completion of assignments and responsibilities;
· Project management skills with a proven ability to plan, track and perform multiple tasks, manage multiple priorities, and maintain consistent attention to detail;
· Problem-solving and critical thinking abilities and experience;
· Strong work ethic, self-directed and comfortable with some degree of ambiguity and with playing multiple roles in an organization;
· Knowledge of Microsoft, basic networking principles;
· Knowledge of software configurations and problem-solving methods needed to diagnose and resolve web technology program;
· Healthcare experience helpful, but not required;
· Report writing preferred;
· Database administration strongly preferred.

HCCI is based in Schaumberg, Illinois and has recently become an entirely remote workforce. However, this position may require the flexibility to travel if in-person meetings or trainings become necessary.
