Job Summary:

The Enrollment Data Specialist plays a key role in the coordination of office activities related to database management of enrollment records, student employment management, and event coordination. General responsibilities include daily analysis and entry of applications and records received electronically via multiple data systems. The Enrollment Data Specialist is responsible for application data activity from initial intake of application, through the data processing of student acceptance and enrollment This position works closely with the Associate Director/Director of Enrollment Operations and Admissions Office staff to effectively and professionally interact with prospective students, parents, and school officials in relation to the admissions process. The Enrollment Data Specialist will also assist with tasks associated with the preparation and execution of admission events. In addition, the enrollment data specialist will assist in the hiring, training and daily oversight of work study student employees.

Other Duties Include:

Essential Functions of the Position:

  • Manage movement, validation and manipulation of data between multiple databases, constituent relationship management systems and other enterprise computer systems.
  • Scan and /or manually enter data from paper documents into computer based systems.
  • Create and send communications to prospective students, parents, and school counselors.
  • Perform standard evaluations of applications and credentials to confirm that they meet established criteria.
  • Communicate with the student’s admissions counselor as needed to inform the counselor about student application details or to resolve issues.
  • Maintain files for credentials received without an application for admission. Generate communications to solicit applications from prospective students.
  • Match new applications with previously received credentials.
  • Coordinate, initiate, prepare, process and/ or monitor various admission forms, records, reports, schedules and other documents, ensuring timely and accurate completion of documents and spreadsheets using Microsoft Word, Excel, Jenzabar, among other software and web based applications.


Skills and Qualifications:

In this position, the Enrollment Data Specialist is expected to have or possess

  • Previous proven experience Administrative Assistant.
  • Expertise in database use and management.
  • Ability to work in a complex recruitment environment that uses technology to achieve recruitment goals.
  • Ability to creatively solve problems and deliver greater service and efficiencies through identifying and implementing technological solutions.
  • Strong organizational skills
  • Self motivated with ability to independently structure work flow and priorities
  • Able to manage a multiplicity of tasks simultaneously; follow through on tasks and meet deadlines.
  • Ability to work collaboratively to achieve departmental and University goals
  • Carry out all responsibilities and objectives in a professional manner.
  • Maintain professionalism when dealing with all constituencies.
  • Accept and render constructive criticism in a professional manner.
