RESPONSIBILITIES
- Serve as an executive level strategic partner by managing operational, financial and administrative support for the CEO allowing them to work more efficiently.
- Travel as needed to investor, board, and partner meetings.
- Company-wide perspective to focus on planning, project management, communication, and relationships.
- Manage, plan, monitor, execute and close large-scale cross-organizational project management.
- Develop department communication strategies and relationship management.
- Collaborate with the CEO to strategically plan, create actionable steps & monitor KPIs (Key Performance Indicators) and OKRs (Objectives and Key Results).
- Develop project management reporting capabilities.
- Budget creation & management.
- Create, streamline and update standard operating procedures (SOPs).
- Manage information flow between the executive and other stakeholders by drafting, proofreading, follow-up and distributing communication via email, reports, letters of solicitation and proposals for the CEO.
- Align executive’s time with high priority tasks, goals and projects.
- Act as a sounding board to the CEO for ideas and feedback.
- Prepare meeting agendas, assemble materials, record and distribute meeting minutes.
- Write communications and may make decisions on the executive’s behalf aligned with their communication style.
- Serve as a liaison to the Board of Directors.
- Manage email, calendar, expenses, records, passwords and travel logistics.
QUALIFICATIONS
- High School Diploma required; Associate or Bachelor degree in business, finance or other field is a plus.
- Minimum of 3 years of executive level support experience required.
- Project management experience required; PMP certification a plus.
- Must be based in the Cincinnati, Ohio/Northern Kentucky region.
- Remote/work from home position that reports in the office as needed per CEO.
- Travel required.
- Extremely proficient in Google WorkSpace or related software or similar software with the ability to learn new or updated software required.
- Ability to function well in a fast-paced environment.
- Excellent verbal and written communication skills required.
- Strong interpersonal skills and the ability to build relationships with stakeholders, staff, board members and external partners required.
- Understanding of clerical procedures and systems such as recordkeeping and e-filing required.
- Able to work independently and with professional discretion required.
- Excellent writing, editing, grammatical, organizational, and research skills required.
- Excellent time-management, attention to detail, problem-solving skills and organizational skills required.
- Ability to operate general office equipment (laptop, printer etc.).
- Experience with budget management preferred.
- Maintain strict confidentiality with proprietary and highly sensitive information while exercising extreme discretion.
COMPENSATION + BENEFITS
- $80,000-$120,000 Annual base salary based on experience, plus annual bonus.
- Unlimited vacation time with a minimum of three weeks taken per year.
- Paid medical, dental and vision benefits offered after 90 days.
- You will supply your own computer and work equipment and be eligible for company devices after 90 days.
